Job Description

xcellent communications Skills (verbal & written)

o Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.

o Directs visitors by maintaining employee and department directories; giving instructions.

o Attending all Incoming / Outgoing via EPBAX system and forwarding the same to the concerned person / Department or keep messages

o Upkeep of reception area, tidy and presentable with all necessary material (pens, paper etc.)

o Making entries of all incoming mails and couriers

o Receiving and dispatching deliveries

o Ensure the list of staff extensions and mobile numbers is updated and distributed accordingly

o Conference room management

o General administration of front office area/Managing Front Office Operations

o Perform routine office tasks as necessary/Any other duties as assigned

o Responsible for Handling Corporate Travel Desk

o Possess good knowledge of Domestic and International boundaries.

o Handling all functions related to Hotel Booking and Travel Arrangements (Airlines, Bus, Car and Railway)

o Taking care of cancellations and refunding of the bookings.

o Coordinating with Travel Agents.

o Maintaining complete record, files and documentation related to travel desk.

o Handling and overseeing domestic and international travel arrangements (air, lodgings etc) and operations

o Negotiate contracts or rates with travel agencies

o Monitor the travel budget and ensure travel accommodations are within budget

o Performing ad-hoc administration duties

o Possibly managing office supplies such as stationery, equipment and furniture

o Maintains safe and clean reception area by complying with procedures, rules, and regulations. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.

o Diary management and management of meeting rooms

o Possibly handling event coordination, both internally and externally

o Contributes to team effort by accomplishing related results as needed

o Maintains security by following procedures; monitoring logbook; issuing visitor badges.

IMMEDIATE JOINERS WILL BE PREFERRED.
